This Role will be ensuring the efficient functioning of our human resources department, including Payroll input, Benefits Administration and HR Operations.  The position is responsible for overseeing various HR processes and initiatives to support our organization's workforce effectively by serving all admin needs and directing the day-to-day operations of the employee’s benefits programs (medical insurance, medical checks, short-term and long-term disability, life insurance and work accident plan) as well as HR Operations (onboarding, administrative services, adherence…). This role requires a keen eye for detail, strong organizational skills, and the ability to handle sensitive information with discretion. The HR Operations Specialist will collaborate closely with HR managers, employees, and other stakeholders to streamline processes and implement best practices.

 

Functional Responsibilities include, but are not limited to:

 

  1. Administrative tasks:
  • Preparing administrative documents; all these requests are handled via Ticketing internal system, the person in charge must update the status of the ticket to keep the employee informed.
  • Work certificate
  • Salary certificate
  • Tenure certificate
  • TAX certificate

 

  1. Adherence:
  • Monitor the absence management process and update the HR system with all details related to justified/unjustified sickness, short-term and long-term absence.
  • Ensure absence records are accurate and up to date and make regular contact with long-term absent employees.
  • Follow up on no call no show absences, inform managers and do the adjustments.
  • Long sick leave legal follow up (sending contre visite)
  • Follow up the worked holiday on HRIS and provide the reporting to payroll team.

 

  1. Benefits Administration:

Assist employees with benefit-related questions.

Insurance Program and Complementary Pension

  • Ensure the joining of the new hires to the health insurance and Complementary Pension program
  • Treat and manage insurance files and work closely with the Insurance provider to have an accurate reimbursement.
  • Act as a point of contact for resolution of claims and escalated issues related to employees' medical insurance.

Meal vouchers

 

  • Ordering and Distributing Meal / Vouchers Cards to employees
  • Manage issues related to Meal/ Vouchers Card (loss, claims…)

 

 

  1. Payroll:

 

  • Gather and process payroll data accurately and in a timely manner.
  • Ensure compliance with all payroll regulations and company policies.
  • Address any payroll discrepancies or issues promptly.
  • Collaborate with finance and HR teams to ensure payroll accuracy.

 

  1. Employee Onboarding and Offboarding:
  • Coordinate and facilitate the onboarding process for new hires, including orientation sessions, paperwork completion, and introduction to company policies and procedures.
  • Manage offboarding procedures and ensure smooth transitions for departing employees.

 

  1. HR Information Systems Management:
  • Maintain and update HR databases and records, ensuring accuracy and compliance with relevant regulations.
  • Report red flag absences to team lead and HRBP
  • Develop and create HR data reports.

 

Profile  

  • Relevant degree and experience in an HR department performing similar tasks.
  • Knowledge of Human resources processes and best practice.
  • Strong working knowledge of Benefits Administration: medical insurance management.
  • 4 years’ experience in Benefits Administration in a highvolume fast paced work environment.
  • Strong written and verbal communication skills in English, French and Arabic Language
  • High commitment to customer service to our internal clients.
  • Natural organizational skills and ability to multi-task while remaining focused.
  • Computer proficiency and technical aptitude with the ability to use HRIS systems
  • Good knowledge of Outlook, Word, Excel, PowerPoint.
  • Demonstrated ability to remain calm and work well under pressure while meeting strict deadlines
